Need a preceptor fast for a UL Lafayette practicum
When the term is weeks away, paperwork sets the pace, not the search. The consortium wants a current agency contract, the preceptor's CV and a signed letter of agreement on file before your first clinical day, and a contract with a new agency can take weeks or months. So a rush search starts with sites the university already has under contract, and that is how we run one.

The four things on file before day one
The ICMSN handbook lists them plainly, and the graduate nursing office holds all four: a current contract with the agency, a preceptor CV no more than two years old, a letter of agreement carrying three signatures (yours, your faculty member's and the preceptor's), and your own health, OSHA and HIPAA documents. In a rush, those items move at very different speeds.

Only the last row sits outside anyone's quick control, which is why it decides where a rush search looks first.
Favor sites with a contract already in place
Check before you ask. The consortium handbook tells students they can log in to the clinical tracking system to see whether their university holds a contract with a facility. A qualified preceptor at a contracted site means the slowest document is already done, and the clinical tracking system page shows where that check lives.
Other clocks stack on top of a new contract. Louisiana's Board wants a new clinical facility approved no less than four weeks ahead of the first student rotation there. Large systems set their own windows for every school: Ochsner names a four-month minimum for processing a new affiliation agreement, and for spring rotations its school request deadline is November 15, with compliance items due December 15. Ochsner LSU Health in North Louisiana sets a three-month minimum lead for school requests.
When time is short, a practice with a current contract and no separate portal window has the fewest waiting steps between a preceptor's agreement and your opening shift.
The dates that bound a rush
Count clinical days, not calendar weeks. These are UL Lafayette's published 2026-27 term dates. A consortium course taught at a partner school may follow that school's calendar instead, and Summer 2027 dates are not yet posted.

The registrar's general drop/add page counts class days differently from these calendars, so rely on the dated term calendar. Spring also holds Mardi Gras (February 8-10, when classes do not meet) and the Easter/Spring Break (March 26 to April 4). UL Lafayette does not publish which graduate practicums run as full terms or half terms, so confirm your course with faculty. The academic calendar guide lists every date.
Your side of the file
The part of the file you control should never be the reason a start slips. Have these ready before a preceptor says yes.
- An unencumbered RN license that meets UL Lafayette's Louisiana rules, kept unencumbered for the whole program as the consortium requires.
- Immunization evidence and the other health documents your program asks for.
- Your OSHA and HIPAA items.
- The drug screen the School of Nursing's policy ties to entry into your first clinical course, graduate or undergraduate. In the policy's 2022 handbook version, proof was due August 1 for fall courses and January 5 for spring.
- DNP students: the background checks, drug and alcohol screening and health requirements due before residency courses, at the student's expense.
The consortium is firm here: a student who has not shown the home school's clinical health requirements cannot remain enrolled in a clinical nursing course. The health requirements page has the detail.

If the first day comes before the file does
Tell your course faculty before the course starts, not after. Ask what the course allows if your preceptor starts late, and bring your hour target and the dates the preceptor can offer.
The grade rules frame that conversation. The MSN counts nothing below a B, a D or F in any course halts progression under the consortium's rules, and the consortium caps each MSN student at two W grades, so withdrawing from a practicum spends one of them. Questions UL Lafayette students ask
How many weeks should I budget for a brand-new agency contract?
UL Lafayette gives no fixed figure. The consortium handbook says a new agency contract can take weeks to months to put in place, and Ochsner's own guidance puts new agreements at four months or longer. With spring opening January 13, 2027, a site without a current contract is a risky bet for a spring start.
Does UL Lafayette publish a cutoff date for naming a preceptor?
No graduate preceptor deadline appears on UL Lafayette's public pages or in the 2026-27 catalog. Put the question to your course faculty or the graduate coordinator, learn the date your course works to, then count backward: contract status, CV, signatures and your own health documents all need to be in before the first clinical day.
Does a preceptor's yes secure my spot?
Not on its own. Course faculty approve every preceptor, the graduate coordinator reviews them, and the contract, CV and letter of agreement must be on file. Some systems say so outright: Ochsner LSU Health considers a preceptor's verbal commitment but treats it as short of a confirmed placement. Start the paperwork the day someone agrees.
Can a preceptor at my own job save time?
It can, especially if your employer already has a contract with the university. The consortium permits a preceptor at your workplace as long as clinical hours are kept separate from your job duties and are unpaid. Course faculty still approve the preceptor, and the same documents must be on file before your first clinical day.
What if my practicum is taught at another ICMSN school?
Consortium courses taught at McNeese, Nicholls or Southeastern can run on that school's start and end dates, and the handbook asks students to know those dates. Check the course in Moodle, where partner-school courses appear, and plan your paperwork against whichever start date comes first.
